Records Specialist

Department: Utilization & Compliance
Location: Enterprise/Deltona, FL

The Records Specialist supports the organization by ensuring records are kept up-to-date in an organized manner to ensure compliance with the organization’s various compliance and contracting standards. The Records Specialist responds timely to requests for information by alumni, stakeholders, and approved providers while maintaining a high level of confidentiality.

What You Need

  • High School Diploma or GED and two (2) plus years’ experience in business administration or recordkeeping preferred; or any combination of training, education and experience which would provide the required knowledge, abilities and skills to successfully perform in this role.
  • Experience working with Medicaid and other public entities, preferred.
  • Working knowledge of HIPAA standards, preferred.
  • Strong working knowledge in Microsoft Suite, required.
  • Strong attention to detail and organizational skills, required.
  • Ability to maintain sensitivity to our target population’s cultural and socioeconomic characteristics.
  • Uploads and manages the online record keeping system to ensure compliance with various compliance and contracting standards.
  • Assists clinical staff with internal EMR requests.
  • Handles all external record releases.
  • Organizes files for new admissions (EMR).
  • Maintains active and discharged files (EMR).
  • Maintains the organization’s document storage facility, including filing, shredding and tracking of clinical documents in line with various compliance and contracting standards.
  • Manage data entry for OTR and Incident Report documentation with a high level of attention to detail and confidentiality.
  • Prepares files for internal and external audits and reviews by scheduling quarterly in-house file reviews.
  • Prepare audit reports of file reviews and share with employees and leadership, when applicable.
  • Perform all other job duties and responsibilities, as assigned.

Schedule

  • This position works eight (8) hour shifts with the opportunity to take an unpaid one-hour break, five days per week. Schedule may be subject to change at any time, with or without notice. Other policies concerning this position are set forth in the current policies and procedures manual.
